Drayage Charges at Trade Shows

In today’s freight industry, drayage is a term that primarily refers to trade shows.

Let’s look at show terms associated with drayage and their meaning.

*    The term drayage is simply the moving of show materials from the show shipping dock to the booth and back to the dock at show’s end.
*     A drayage contractor is the company responsible for handling the materials at the show.
*     An advanced warehouse is used by the drayage contractor for pre-show storage of exhibition materials.  A “drayage fee” is levied on the total shipment based upon weight and classification.
*     The material handling agreement, sometimes called the floor bill of lading is issued by the show contractor at the show site.  This will be used to ship your product back to your location.
*    A trade show pickup charge is often charged by the carrier who is picking up your product at show’s end.

Most trade show vendors will ship their product directly to the advanced warehouse instead of directly to the show floor.  In doing so, they will incur two invoices for shipping – one from their business to the advanced warehouse for normal shipment charges and one for drayage.  Most vendors feel that they should only pay one freight invoice, but remember, these are two separate functions.  Some feel that by shipping directly to the show they will only incur one freight charge, consider this: Instead of your product being rated at class 60 – the normal classification for books –going directly into the show, it will be considered exhibition material and rated at class 125.  This alone doubles your freight cost; the product shipped directly to the show can not be received in advance since the convention center will not have anyone to accept it or any storage facilities.  Therefore, you will most likely have to ship it using a guaranteed delivery service which can be very expensive.

Your product coming out of a trade show will normally be rated at class 125. In addition to an already expensive shipping rate, other accessorial charges typically apply, i.e. trade show pickup charge, weight inspection charge.

Now consider the advantages of using Freight Management Systems to handle your freight at the Onboard Show.
*    The cost of drayage is approximately half the cost of other trade shows;
*    Your product is shipped back to you using class 60 as opposed to class 125
*     There are no additional charges for trade show pickup
